What do I need to use FormSync?
| Requirement | If it is not met |
|---|---|
| Your store uses "Customer accounts" (recommended), the new customer accounts | A warning is shown. You can still publish forms, but depending on where your theme's links point, customers may not be able to reach the form |
| Your store has upgraded to Checkout Extensibility | You can't publish forms for the Thank you page or the Order status page |
| Your published theme supports Online Store 2.0 | You can't publish forms shown before login (gate page) |
| The FormSync app embed ("FormSync login gate") is turned on in the theme editor | A warning is shown. It is required to show forms before login |
"Requirement diagnostics" under "Settings" in the app checks all 4 requirements automatically. If there is a problem, a banner appears on the dashboard and on the settings screen. Click "Run diagnostics again" to check the latest status.
New customer accounts are the newer login method where customers sign in with a code sent by email. The older method where customers sign in with a password is called legacy customer accounts.
How do I publish my first form?
- Check your customer account typeIn your Shopify admin, go to Settings > Customer accounts and check that "Customer accounts" (recommended) is selected.
- Open FormSyncOpen FormSync from Apps in your Shopify admin and check the diagnostics results on the dashboard. In the app list, it may appear as 「FormSync Customer Forms|会員情報登録」.
- Create a formIn "Forms", choose "Create form" ("Create your first form" if you don't have any forms yet). Enter a form name (for your own reference), choose where the form is shown, and click "Create and open the builder".
- Add fieldsIn the "Builder" tab, add components and set the label, required, and other options. Adding, deleting, reordering fields and the required setting are saved right away. Changes in the field settings on the right need "Save field".
- Connect where data is savedIn the "Data storage" tab, choose "Customer metafield" or another option as the destination for each field, then pick an existing definition or create one with "+ Create a new definition". Check that every field shows "Connected".
- Add a block for "After login" formsForms shown "After login" don't appear to customers until you add a block. In your Shopify admin, go to Settings > Customer accounts, click "Customize" to open the editor, and switch to the "Orders" page. Use "Add app block" to add 「FormSync 会員情報フォーム」 (FormSync member info form), then click "Save". New customer accounts are required. Once the block is in place, customers are taken to the form page automatically right after they log in. On the form creation screen, you can also see for each location where the form appears and whether a block is needed.
- Publish and check the formClick "Publish". Log in to your store as a test customer, fill in and submit the form, then open that customer in your Shopify admin and check that values were saved to the metafields and tags.
- Choose a planFor 7 days after installing, you can try Premium-level features without choosing a plan. Try the app as is, and choose a plan on the "Plans" screen within 7 days. During the trial, the dashboard shows the date your free trial ends. After the trial ends, forms that use locations or features not included in your current plan are no longer shown in your store (the forms themselves are not deleted). See "FormSync plans and features" for the differences between plans.
What should I check before publishing?
When you click "Publish", a pre-publish check runs. If there are errors, you can't publish. Warnings are shown as reminders to review before you publish.
- No warnings are shown in the diagnostics results
- Every field is connected to a destination (you can publish with unconnected fields, but a warning is shown and input in those fields is not saved)
- For "After login" forms, you added the 「FormSync 会員情報フォーム」 (FormSync member info form) block to the "Orders" page in the customer accounts editor and saved
- Forms shown before login include an email field (without one, input can't be applied to the customer)
- Required fields, text, and the submit button are easy to read on a smartphone screen
- The form has 8 fields or fewer (a warning is shown for 9 or more)
- The locations, features, and number of fields are included in your current plan
Common issues for first-time users
- I published an "After login" form, but it doesn't appear
- "After login" forms don't appear automatically until you add a block. The form may also not appear if the test customer you used has already submitted it.
- Customers fill in the form, but nothing is saved to their customer record
- Fields that are not connected to a destination in the "Data storage" tab are not saved, even when submitted. Before publishing, check that every field shows "Connected".
- The form doesn't appear before login
- To show a form before login, you need a theme that supports Online Store 2.0, and the app embed "FormSync login gate" must be turned on in your published theme. If it is turned on only in a draft theme, the app shows "Draft theme only". Showing forms before login is available on Basic and higher plans.
- Forms don't appear on the profile, Thank you page, or Order status page
- For these locations, you need to place a FormSync block (「FormSync 会員情報フォーム」 (FormSync member info form), 「FormSync 購入後アンケート」 (FormSync post-purchase survey), or 「FormSync メール・SMS購読」 (FormSync email and SMS subscription)) in the checkout editor or the customer accounts editor, then click "Save" in the top right of the editor. The Thank you page and Order status page also require an upgrade to Checkout Extensibility.
- Values entered before login are not applied right away
- Values entered before login are saved temporarily. After the customer finishes logging in, the app confirms the email address matches and then applies the values to the customer record. That's why forms shown before login need an email field. If the customer doesn't log in within 7 days, the temporary data is deleted.
- I turned on the gate, but customers still see the normal login screen
- Check that "FormSync login gate" is turned on in the theme you are using and that you saved in the theme editor. In the "FormSync login gate" settings, "Send the "Log in" link to the gate page" is on by default. In stores that have used the app for a while, the value saved in the theme is used as is, so also check that it hasn't been turned off.
- Forms stopped appearing after the 7-day trial ended
- After the trial ends, forms that use locations or features not included in your current plan are no longer shown in your store (the forms themselves are not deleted). The form status stays "Published", but forms for locations outside your plan (such as the profile, Thank you page, and Order status page) and forms that use an allow list are no longer shown in your store (submissions are not rejected; the form itself simply does not appear). If you use the login gate, customers continue straight to the normal login page. When you resume a plan, the forms reappear automatically. The "Some forms are hidden or partly disabled on your current plan" banner on the dashboard lists the affected forms and the reasons.
- I changed field settings, but they weren't saved
- Adding, deleting, reordering fields and the required setting are saved right away. Changes in the field settings on the right need "Save field". After changing a label, input checks, or similar settings, click "Save field".
- Customers can log in without going through the gate page
- Direct logins that skip the gate page can't be fully prevented. If you also want customers who skipped the gate to fill in the form, use the fallback setting that shows the same form right after login (Standard and higher).
- A lock icon is shown and I can't change a setting
- That feature isn't included in your current plan. For example, allow lists are available on Standard and higher, and tag rules and showing forms before login are available on Basic and higher. On Free, you can only show forms after login. See "FormSync plans and features" for details.
- After I submitted once, the form stopped appearing for testing
- The default for "When to show it" in the "Settings" tab is "Only customers who have not answered". While you are testing, set it to "Always" so you can check the form as many times as you like. Change it back before publishing.
- Values entered at the gate are not in the customer record
- Until the customer finishes logging in, values entered before login show as "Not linked yet (before login)" on the "Submissions" screen. Once login is complete, the app confirms the email address matches and applies the values to the customer record.
- I set a condition on a choice, but the tag isn't added
- If you wrote choices in the "value|label" format, use the "value" in the condition, not the label.
FAQ
Can I use FormSync with legacy customer accounts?
You can publish forms, but a warning is shown in the app. Depending on where your theme's links point, customers may not be able to reach the form, so we recommend using new customer accounts.
Can I collect order or product information?
No. Data is saved to customer standard fields and customer metafields.
